Preparatory Visit

I was just wondering if we would find it useful to apply for funding for a preparatory visit, to meet in one of our countries. Has anyone done this before? It seems quite straightforward although I don't know how likely it is that we would get the funding. It looks like we would all have to apply separately. Obviously the first thing we would need to do would be to decide where we wanted to meet (I vote for somewhere warm :-)
Should we do it?
If yes, then where?

    I think, it might be useful. just before finding you, I mean when we decided to be partners with Cinzia and Carmen, a teacher from France (Suzane) invited me to join their group. of course I told her that we have already a group and she could join us instead. at bottom, she asked me for the preparatory visitand explained they are going to do it this summer. to be honest I don't know the exact procedure. however, if we decide to do a preparatory visit and look for a hot place (not warm, i hope this is better:) in summer, my country can be a candidate. let's see our friend's ideas... one more thing, Cinzia told me that we can have also a Spanish partner soon. we hope to see her/him here as soon as possible. as we talked before, if s/he doesn't want to join us (i hope just vice versa), i will look for the fifth partner in e-twinning. what do you think about this?

  2. I agree, if we don't have a fifth partner soon then we need to look for one. I have had a quick look at the application for a preparatory visit. we have to apply at least 8 weeks before the visit and before 10th december.

    yesterday I wrote to my Spanish friend to have an answer but I don't have anything yet. So if you want to try with etwinning or other ways, go ahead! About the preparatory visit, I think that we have to apply separately after be invited by the leader of the project. So I think that first of all we have to decide the main idea of our projet.

  4. Hopefully we will hear from your Spanish friend. I think it is better if it is someone you know :)
    Do we need to have more than 5 partners, just in case one of us needs to drop out, or is 5 the maximum allowed? I don't know because I have never done it before...

    To Cinzia; i think first we must wait for your friend's answer, then if S/he doesn't answer, we can go ahead.
    To Vicky; we can have more partners if we want. however, personally i thought that it was the ideal number. on the other hand, as you said some of us maybe drop out (i will never) or can be turn down by the national agency.
    To group; for the project idea: i think we can follow Cinzia's idea (environmental problems). because it is very famous nowadays. moreover, it seems more adoptable to a project. after Cinzia wrote her idea, i worked on it and even create an outline.
    firstly, our topic can be something like that:
    WE WATCH THE SAME MOON, WHEREVER WE LIVE. SO WE MUST SAVE THE ENVIRONMENT FOR OUR OWN SAKES.
    (Vicky: is it Sakes or sake? which is better?)
    then the second step; we can determine every countries role in the project. i mean:
    first country which we visit; they(teachers and students) can make a presentation on the definition, kinds and background of the environmental problems.
    then the second country; they inform us about the first kind (for instance, global warming, air pollution, water pollution, etc.) and make a presentation.
    the third country; choose another one and again inform us.
    the fourth country do the same as well.
    the fifth country; they present us some solutions about all these poblems. it may be the conclusion part of our story. each country share ideas and we come an agreement.
    then we prepare our final report according to this outline. besides, we can send Coordinator's national agency the CDs (which we record during the presentations or our student's studies) and papers we prepared.
    yes my dear partners, this is my idea. what do you think? do you agree or should we change some parts? waiting for your comments???

  6. one more thing; i am the person who tried to collect this group together and it will be an honour for me to be the Coordinator of the project. however, i think that we must choose a country from which we have the biggest chance for our project's acceptance. i mean, hundreds of schools apply for the projects just from my region (think about the all country). so if we think that every region sends one or two projects every term, we will have to compete with hundreds of projects and win the race. i am not sure but as far as i can see on e-twinning or other blogs; United Kingdom (Vicky) has the biggest chance because the least application number comes from England. am i wrong?
    on the other hand, please do not hesitate (i am telling all of us whoever becomes the first coordinator) on being Coordinator because we will have all the partners as replacement coordinators and no matter who becomes the Coordinator we will do all the works and prepare all the CDs or papers together. i think it is very easy because we have got two years and just 2-3 CDs and a few papers. moreover, all the necessary documents are being published on each country's national agencies' web pages. we will have them and fill in the necessary part one by one. it is worth to everything to have a chance to visit all of you in your countries.

    lastly, for the preparatory visit (as you see i studied hard for my lessons:) we must apply 45 days ago. before the visit. and the coordinator country must send invitations to other countries and we must have an outline for the project to work on.

  7. Hi Yasin, I like your idea about the project. I think that if every partner show to the other his environmental situation is the right way to look at the problem. Having a global view and suggesting some solutions could be a motivating kind of work for our students. I would like that projetc could be at their level, they have to been involved in the different passages, seen what their foreigner partners are doing. I'd prefer presentation doing by power point but of course we can propose some videos, or both.
    About the application I know we have to be at least four, so when we are sure about Spanish I think we are the right number just in case some of us won't be accepted. I think that a bigger group is too much to cooperate and may be not easy to follow. If Vicky accepts to be the coordinator in case, I hope no, Turkey isn't accepted we have already what we need to start. All my compliments to Yasin for his hard job in suggestions and information.Bye everybody

  8. Wow - Yasin you have studied hard for your lesson!
    I really like the idea of looking at environmental issues because it is a common global them, but will also be different in each country. It will also be interesting for us (the teachers) to compare how our education system looks at the issue, whether it is important/prominent or not. I am happy to co-ordinate the application if you think it gives us the best chance of getting funding. I don't know how many applications our country has but everyone I know, who has applied, has got the money.
    I think we have a really good outline for the project and when we get together we can agree which format to use (CDs, powerpoint...) and what the end product will be. Maybe we could set up an educational website to inform children and teachers from other European countries.
    The only problem if I coordinate is that you will all have to come to England for the preparatory visit - which will not be so warm :-O

    Yasin, I like your idea: protecting the environement is a very important problem. For the preparatory visit, we must have an invitation from you and the aplication form must be submitted with at least six weeks before the visit, but not later than december.

    My students must pass their final exams and also I have to prepare some activities because this week-end we're expecting a moldavian team (techers and students). We have a school exchange, in French, "Voyage parmi les mots". So please forgive me for my delay. See you soon! Bye!

    thanks for your agreement. i am very glad to hear that we are all agree. then we have our topic and our coordinator (big boss:)
    i am sure that our project will be accepted. Vicky, i think you must confer with your national agency for the invitation, and we must ask to our national agencies for the application. as you said it is crucial for us to have a preparatory visit. we can decide everything there if we can achieve that.
    you say England is not so warm (although our hearts can heat the weather;). then we must search if the Coordinator country and the country which will be the host can be different or not. if possible we can look for another country. Turkey and also Italy (as far as i know) are hot places in summers.
    we began to take quick steps. and i really feel very lucky to have partners like you. take care all...

    Today I has been contacted by an old Portuguese friend and she told me she's trying to find a Comenius projet. I told her about ours, so maybe it could be a solution if my Spanish friend doesn't answer. Or we have one partner more. About the preparatory visit we wait to know if the country coordinator and the preparatory visit can take place in different area. I'm at school till the end of june for exams. Than from the 18th July till 1st Agust I'm in England with a group of students. We could think about the preparatory visit at the end of September or in October. What do you think? Of corse we have to apply to our national agency before.

  12. I have had a look at my country's website and it doesn't say the visit has to be in the coordinators country, but it doesn't say it can be in a different country so I will phone them on Monday and ask a real person :)
    Cinzia,I think it would be ok to have another partner especially as it's someone you know. What does everyone else think?

  13. I agree with Vicky, it is better to have a partner that Cinzia knows. In Turkey our schools are closed on 31st of June and opened on 1st of September. During this time we have a long holiday which I really love:) i think preparatory visit should take place in August. We can decide on the place together. take care all, bye...

    I know for sure that the preparatory visit can take place in a different country than that of the coordinator. It will be nice if Portugal and Spain can join us. In Romania the schools are closed on 11th of June and opened on 15th of September. I’ll ask if our agency can approve so quickly the application. I think is better in September or October, like Cinzia said.

  15. I think it would be a good idea to have the visit in September or October too. You are all very lucky with your long summer holidays. Our schools close on 22nd July and go back 3rd September!

  16. September is also okey for me. we must decide on the country as Vicky said and then we must apply our national agencies 45 days before the preparatory visit. Vicky sends her vote to Italy (so do I because i am very willing to see Italy :) What is Cİnzia's idea on this subject? and of course Carmen's?

  18. Hi everybody,
    I have spoken this morning with my headmaster about organizing the preparatory visit in Italy and he agrees but we have to obtain the approval in our teaching meeting. The next one is on June the 29th. He has alreary inserted the project in the list of topic discussion. So I propose preliminary visit in Italy from 6th September to 11th Semptember. Students won't be at school yet so I don't need any replacements.Turkey is the coordinator of the project, England is the substitute and Italy organize the preliminary visit. I can confirm only the 29th June in the evening. I suggest to prepare all the documents so when we are sure we can send the application forms to each national agencies. I think we have enough time. Yasin I think it's you that have to invite us in the projet, so I wait for your form. The topic is already decided. My friend from Portugal is asking to her boss and I think we'll have her answer in a few days. Unfortunately no answer from Spain, I don't know why. Carmen please tell me were you already stayed in Italy just to show you different places. We are in the North, a little village near Bergamo. Waiting for you news

  20. We start back school on 1st September, so 6th-11th would be a little bit tricky as the children will just be settling in so it would be difficult to leave them. If we could do it towards the end of september that would be better, or before september.

    Carmen I took note of places you visited. About the dates, in August for me it is impossible. Later I have to speak with my headmaster because in the end of September we are in the same situation as Vicky, in Italy school starts on the 13th September. We have problems with students and also with teachers, sometimes we don't have all the teachers at school and the fixed have to replace the ones that aren't present, so it's not a good period.

    My headmaster said yes about the first week of October. I think is a best period for our preparatory visit. What do you think? About our new partners, I saw you added my Spanish partner Lola in the blog. I'm happy about that. I hope she'll join us as soon as possible. I've been contacted also by a Portuguese one. I met her in Greece two years ago. She didn't participate in that Comenius project because she moved into another school. She is interested in our work. What do you think?     As Cinzia told you, We've met in a Comenius project, in Greece, and I have also participated in another one, maybe 4, 5 years ago. And If I am here asking for your invitation is because I've loved the past experiences with Comenius, for sure.
    Carmen: By the way, in The first Comenius I participated there was a Romenian college named Carmen, too, a really fantastic friend from Botosani. Is that the same Carmen, Ann's mother?:)
    About the subject I think it can result in such good students' researches and results.
    I also agree about the first week in October for the preparatory visit, because in September we have a lot to do at school.And don´t forget we should have time to fulfill Vicky's application to send to our agencies and it is not easy.Have you already seen this application? The earlier we fullfill it, the better, don't you think? And all the countries must right the same in what concerns subjects, etc.

    Vichy: When I was in the other project, the coordinator country, Greece, send us an invitation. It should include the daily program of the time spending on the country who hostes us. (that's why I think it's important to know if we could go to a country who isn't the coordinator). If you want me to send you an example of the invitation, please tell me your e-mail and I'll do it. Have you already seen the application to fullfill? You have to make a little description of the project, its aims, activities and all this should make part of our application, too.
    Cinzia: Do you have your last application (Greece's visit) in English? Remember that Constantinos sent us everything by mail, in English? It could be a helpfull document to Vicky, don't you think? Unfortunately I haven't. Maybe you kept it.
    Carmen: I liked your country but I loved your people, so simple, polite and generous. We were very well received, indeed.

    And what about the crisis? Do you think that the european crisis can disturb our project in what concerns the funding? We must thing of powerful aims and activities to deal against it.

I've also had confirmation from my national agency, Italy can receive all the members even if the coordinator is another country. I'll try to prepare a sample of program, I have to submit it to my headmaster and ,if it is ok ,we can do the official invitation. I hope to do everything in the right way.

    Vicky i agree with you:) i also never mind about being the coordinator (host) of the project. you are at the same point with me i think. in our previous disscussions i mentioned you about the acceptance rates in my country. then we would need replacement country or countries. whereas, it is very high in your country. if you also don't mind, you can be the host and i can be the replacement of the project. In any case, we will fill in the application form and plan the programme together in Italy.

    I had the confrimation of my National Agency, I don't have to fill any form I just have to send all of you an invitation and the program of the preparatory visit. You have to apply to your National Agency. Please send me the addresses of your schools and the names of participants to the first visit. I'm still waiting for the approval of my colleagues reunion on the 29th, after that I'll will able to send you my invitation that you have to join to your application form to your National Agency. I have done the program from the 4th October to the 9th October. Does everyone agree with the days? I'm trying to find a good solution for you in a hotel in the nearby. You'll have to think about the trip. I did a plan of our visit and we have to move in the near towns. What do you think if we rent a van and we share the cost? Or do you prefer to use your own car o public transport? Waiting for your information, thanks to everybody.

    first of all, thanks for everything. i am looking forward to meet all of you face to face. i agree with the dates. In addition, renting a van is a good idea according to me. I don't know what do our other friends think but i think we must stay at the same hotel for the sake of timing and also knowing each other better. as i told you before, i helped my neighbour school for a comenius project two months ago. our colleagues (16 people) stayed at thye same hotel and we took them altogether. it was very effective in using time. otherwise it would have been very hard to collect them :) i am waiting for the invitation then. one more thing, we will also need your school's and your personal information like name or phone number, etc. thanks for now.

    Cinzia: As I told you yesterday, today I phoned to my national agency and, in fact, if we pretend to take two people to the visit, the envitation must refer the two names as it is the way to give evidence of the amount we are going to ask. So, I will give you two people's names, my own and my headmaster's (she intends to go, too). Of course my agency says this second person, to be approved, must be very well based, but we don't loose anything to try.
    Tonight I'll send you an email with our details.

    I've spoken this morning with Italian Agency. They've confirmed me that the refund is only for one person. I've asked if I can invite two people and they told me that isn't a problem but the refund is only for one so you'll share the amount. I had all the details from Vicky, Yasin and Carmen. I'm waiting for Cris ones. No answer from Lola. I think there are some problems.Next week I think to fax you the invitations. After that we'll find the best solution for you accomodation, trasfer and so on. Bye everybody

    About Lola, unfortunately she can't join us now. She waits for September if some new colleagues can help her

    What do you think?
    About your trip, as I suggested to Yasin, if you can find a flight to Milan Orio al Serio it'll be fantastic because the airpost is very close to our school.
    If you find other Milan airports there is an easy transfer service to Bergamo.
    We have to decide where you prefer to stay. We said in the same hotel, it's ok.
    Our school is in a little village and what I want to show you is all around but we need to drive.
    I'd like to know if you prefer to stay in a nice village, very calm near a lake at about 20 minutes to the school
    or is it better to choose a hotel in Bergamo, the nearest town? The distance is more or less the same?
    I'll join you by my car every day
    but I need you have somenthing to drive and follow me.
    As I suggested before I thought at a van but it depends how many you are.
    So please tell me the exact number of people, how many rooms you need and where you prefer to stay,
    I'll go to the different hotel and ask the better price for you.

    Yesterday I sent all of you my invitation.
    Is everything ok?
    I've already received confirmations from Carmen and Vicky. I'm waiting for Yasin and Cris ones.
    Lola wrote me, unfortunately she waits September and new colleagues to have some help. I'm afraid it's too late but I hope she'll join us. I don't know if it's possible.
    About the flight, as I told to Yasin, if you can find something to Milan Orio al Serio, it's very close to my school. If you find other Milan destinations, don't worry it'll be very easy to catch a transfer to Bergamo.
    Tell me what you find and I'll try to help you.
    About the hotel I 've two different proposals: I 've found something very nice near the lake, a very calm accomodation or you prefer to stay in Bergamo, the nearest town? Both are 20 minutes from the school. For that reason you need something to drive. I'll join you every day by car but we need something else to visit what I want to show you.
    Please choose where you prefer the hotel, when I know it and I've the exact number of people and rooms I'll go to ask for the better price and later you'll book.

    Cinzia: I've just received a call from my school telling about the fax. About the rooms, maybe I prefer the one in Bergamo (if we want to go for a walk at night), but Whatever the majority decides it will be good for me.
    About the number of portuguese people, if the national agency approves two people, we will be 3 or 4; if it approves only one person, I will go alone with my husband.
    PARTENERS: We have to work on the project description and implementation. What do you suggest how to do it? We have to write the same text for all the countries. I'd like to work on it before going on holidays (I go to the beach from 15th July till 1 August). Are you able to work these days? What are your intentions?

    about the project; Cris, we had made a simple outline before you entered this blog. i think, you can examine it and if everybody agree we can improve it. Cris, at this point you must guide us because as far as i could remember you are more experienced than us.
    next step will be like that: we will all apply to our national agencies by adding the invitations and programme that Cinzia sent us. then if our applications are accepted, we will meet in Italy and create our project there. ae these correct Cris? please correct me if i am wrong.

    Yasin: You are right about your suppositions. To apply to our agencies we must add the Italian's invitation and also the programme, but the most important, we need to fill fields D "Please give a brief description of the future cooperation idea you would like to develop during the visit. Please indicate the
    objective(s), topics(s) and activities to be developed, and the planned starting date of your future project" and F "Please describe the activities which will take place during the visit. Please indicate whether representatives from any of the future participating organisations other than your own and the visit host organisation(s) will also take part in this visit.Please also include a draft agenda."
    In Italy we are going to prepare the project itself (based in the objectives and strategies written for the preparatory visit)
    Everybody: About the topic/theme of the activity,field E, I choose "Environment/sustainable development", as the application suggests many. What do you think?
    We must write the same (among our parteners)in fields D, E and F.
    Last year, when I participated with Cinzia in Greece, our coordinator wrote everything for us, we agreed and then we just had to copy for our application.

    it is very nice seeing that you are all agree (except from Cris. i think she hasn't read yet). then we have our project name and project summary. i sent the application to my agency and started to wait for the answer. on the other hand i heard that the acceptance rate is too low in my country because there are so many applications. i hope my national agency accepts my application. otherwise, i may leave you :( without my consent.
    Cinzia: i reserved my flight in case i have a problem in finding the correct time and place. my plane arrives at the Milano Malpensa Airport. is it suitable or close to the hotel? the arrival date and time: 03/10/2010 Sunday -16:45

    Malpensa airport is the furtest from Bergamo. It isn't a problem, you'll take the tranfer from the airport. I've to check if there is something direct or if you have to change. The arrival time is ok. About the hotel I haven't chosen the hotel for you yet. Before I need the total people number, then I propose all the group what I think is the best and you'll choose.     I read Yasin's project and I don't agree with point D.1(sorry, it's only my opinion):
    a) I think we must write about the objective(s), topics(s) and activities to be developed with the FUTURE PROJECT, not with the preparatory visit. That's what I and the other countries did the time we prepared the preparatory visit last year.We must write about the future project itself.
    b) I think yasin forgot to talk about "Please explain how your future project will be linked to the activities of your home organisation". And this is important for our national agencies.

    Yasin: Don´t be bored with me. My only intention is we altogether in Italy. Maybe I'm wrong, but in fact that´s what we have done last year and we did the approval!

    Group: I don't know if you have already submit the application. I don't and hope you don't, too. This morning I fullpilled point D.1.according to my feeling. I will send it to your mails and I'd like to received your feedbacks.I will wait for your opinions/suggestions before submiting, as we must write the same text. But time is almost finishing (we have to submit it with 6 week in advance)

    Yasin and all: Please don't stay with a bad impression on me (I fell like the black sheep). It's only my point of view...

    I'm back in Italy but I'm going to leave again. So I'll be at home some days and some I'll be out. Sorry if I don't answer very quickly.
    About the hotel price, I've seen some offers on the net, they are going from 70 to 100 per night for the double room. I need to know how many double and how many single rooms. I know that Yasin is coming alone. Cris are you arriving in two or in four? I don't have any idea about Vicky and Carmen. I don't know if these prices are enough for your application form. When I have the exact number of rooms I'll contract the best price in Bergamo for you.

  77. i have already submitted my application as I needed the signature of my headteacher and he was going on holiday. also I didn't want to leave it until the last minute. Cris: it's a shame we didn't have your opinion sooner but we all have holidays at different times. I'm sure it will work out fine!
    Cinzia: I'm nit sure if I will be coming on my own, or whether my headteacher will come too. if he does we will need 2rooms unless he can share with another male and I can share with another woman. The daily rate on the application is set at 143 euro I think so we have to work within that budget for rooms, including our daily spending on food etc.

Just as Vicky i have already sent the application form for the same reason. my headmaster and i would have been in different places for the holiday (as we are now) so i had to send it before i leave. that's why although i agree with you, there is nothing to do now. i am sorry. i wish you had a chance to enter the blog before we send it.
    as i said at the beginning this is my first project and i warned you about that:) i hope you take more responsibility and direct us as the most experienced person of our group.

    Yasin: In fact as you can see in the blog, I asked people on 7th July about disponibility to work on the aplication and Carmen said after 12th July, Cinzia 1st August and you 29th July. Vicky didn't answer. When You sent the application I was preparing my luggage and staff and also with work at schoo(exams).Truely, I never thought you all would send the application without the opinion of all the countries. I thought that in this week we will change opinions and made a comon text with everybody's contribution.That's why I said you made easier our work. The headmaster's signature wouldn´t be relevant because you just had to change his identity to the person who represents him when he is out.
    I'm really sorry, but as you said, I must relaxed.
    Now I don't know what to do, if I submit my aplication with your text or with mine. Say someting. HELP!!!!!!

    About the 143 per day, this must pay hotel, meals, local trips, assurance. I also think it is enough.

  81. Hi Everyone, I really don't think we should worry about the wording, we've all acted in what we thought was the best way. My school is closed so there would be nobody to sign an application form everybody leaves the country to avoid the rain!! :-)
    I don't know if all the applications have to have the same wording, if they do then we all need to use Yasin's, if not then you can use your own Cris.
    With regard to the acommodation, I really don't mind where we stay as long as there are no cockroaches :-)

    I don't if someone can share a room. Unfortunately I think that the headmasters are all females. This hotel price is the best I found in town. I tried to find a place where all the group could be accepted and the location was good if we need public transport. I know the prices for a single are high. About the car Vicky is very kind, I'm asking also Cris if they can rent a car to share the price. I'll try to do what I can to make you save as much as possible.

    First of all Carmen I'm very sorry about you and I hope you'll join us later if you can't now.
    This is the way I’d like to welcome you.
    On Sunday the 3rd , when you arrive at the airport, tell me if you need any help and I’ll give you all the instructions.
    Yasin and Cris, you already know what to do but if you need something more, I’m here.
    Vicky, you arrive late and by car. It’s easy because out of the airport you have to follow Milan direction and then Venice, Bergamo is half way. The hotel is very close to the motorway exit.
    Sunday afternoon, when you are in the hotel, I mean in the afternoon I’ll welcome you and you’ll arrange your thing. Then I think It will be time for dinner and we go somewhere in the nearby.
    The next days, in the morning I’ll join you at the hotel and by my car and the British women car we’ll join my school where we’ll work following the program.
    Lunches will be at school or in the nearby.
    In the afternoon, I’ve changed the program trying to satisfy your requests.
    On Monday we’ll visit the local area by my car and Vicky’s one.
    On Tuesday we’ll go to Bergamo.
    On Wednesday we’ll reach Milan.
    On Thursday I’d like to go to Verona and I’m trying to find someone for the journey because we can’t ask Vicky as she has already gone.
    On Friday, only for Yasin, we’ll see a local Lake.
    Dinners will be in the area we are and we’ll choose the cheapest places.
    If you have any other requests, tell me.
    I’ve organized with the local facilities everything.

    first of all, thank you very much for all your hospitable manners and efforts. you are really very kind to us. i am so pleased that i have already begun to think how to entertain you all :) i am sure that we will not only create a wonderful project but also have wonderful time there. i suppose Vicky and Cris have arranged their hotel booking and as sometime ago Cris said i am the black sheep now:) i couldn't overcome it yet because of the monetary unit difference. i hate credit card and generally use cash. i hope that when I arrive there i will find somewhere to stay:) my first option of course will be the same hotel; however, if I can't i will find somewhere else close to your hotel.
    Cinzia: about Friday, I can make a different programme. i mean, i am the only person who stays there on Friday so you may deal with your other works. it is really not a problem. i can take a tour around Bergamo and do not worry i won't get lost :)
